Print2Accounts – frequently asked questions

Answers to the most common questions about setup, saving receipts, privacy and troubleshooting. Step-by-step instructions are in the user guide.

Setup and editions

It takes receipts to Procountor. You print a receipt to the printer Print2Accounts PDF, the app reads the receipt details with AI, and you check and save them. The receipt PDF is attached to the voucher in Procountor.

Download Print2Accounts-Setup-<version>.exe from vesan.ai/print2accounts and run it. Installation requires administrator rights. It installs the app, the Print2Accounts PDF printer and, if needed, Microsoft Edge WebView2. The Windows print spooler restarts briefly during installation.

If you prefer, we can handle the installation and setup for you: get in touch.

Print a receipt to the printer Print2Accounts PDF, and the app opens with the receipt. You can also open Print2Accounts from the Start menu and select Avaa PDF… (Open PDF…) or drag a PDF file into the window.

The easiest way is to select Asetukset → Procountor → Yhdistä Procountoriin (Settings → Procountor → Connect to Procountor): sign in to Procountor, select the company and approve the integration, and the app receives the key automatically. Your company’s Procountor main user can also give you the key. In that case, enter it under Asetukset → Procountor (Settings → Procountor) and select Testaa yhteys (Test connection). The key is company-specific.

The Procountor API is subject to a fee in all editions, including the Free edition. Finago charges a fixed fee for it and an additional fee for each integration, in line with its API pricing – these fees are not included in Print2Accounts prices.

Only in the Basic edition. In the other editions, AI is included in the app and you do not need a key of your own.

At console.anthropic.com → API Keys. Anthropic requires a payment card and prepaid credit. Reading one receipt costs about 1–3 cents, and usage is billed directly by Anthropic.

A voucher is one receipt saved to Procountor. The edition and the number of vouchers are shown under Asetukset → Tilaus (Settings → Subscription). Prices are on the product page. In all editions, including the Free edition, Finago also charges for the Procountor API; see its API pricing for details.

New receipts cannot be saved to Procountor until the start of the next month. In the Free edition, after the 10 starter vouchers you can save 2 vouchers per month. You can switch to a larger edition under Asetukset → Tilaus (Settings → Subscription).

Yes. If the subscription service is temporarily unavailable, receipts are still saved to Procountor, up to 20 vouchers per month, provided the subscription has been checked within the last 30 days. The app reports these vouchers to the subscription service later.

Free vouchers belong to the company, not the computer: computers using the same company share them. The subscription service identifies the company through the Procountor connection and stores only a hash derived from the identifier.

Your accounting firm can offer Print2Accounts to its clients. You receive a licence key from the firm, and the app shows the firm’s name and logo. AI is included, and you do not need a key of your own. Accounting firms can request a quote.

Saving receipts

The app first checks the required details. It then adds the lines to the month’s journal voucher (P2A YYYY-MM, status Unfinished) and attaches the receipt PDF to it. If the month has no unfinished voucher, the app creates a new one. Finally, you see which voucher and lines the receipt went to.

  • Muistiotosite (Journal voucher): a receipt paid with a company card or from a company account is booked directly in the accounts.
  • Kululasku (Expense claim): a receipt paid with your own money. An expense claim is created in Procountor, and the company reimburses it to the employee. The expense type and payment method are not transferred to the expense claim.

Procountor bills by the number of vouchers, so putting many receipts in one journal voucher saves money. If your accountant wants each receipt separately, turn on Aloita uusi tosite (Start a new voucher) before saving.

The month does not have an unfinished voucher yet, so a new one will be created anyway.

The line amount is entered as a net amount (Veroton € – net €), and the app calculates the VAT. Verollinen € (Gross €) shows the line amount including VAT, so you can compare it with the receipt.

Procountor calculates each line’s gross amount from the net amount and rounds it to the cent. Not every gross amount falls on a whole cent: for example, €27.20 with 13.5% VAT is either €23.96 net (€27.19 gross) or €23.97 net (€27.21 gross). That is why the sum of the lines can differ from the receipt total by a cent or two.

The app evens out such a rounding difference automatically when it reads the receipt: it changes the net amount of one or two lines by a cent so that the gross sum of the lines is exactly the receipt total. This way the amount booked in Procountor matches the bank charge. Each line’s gross amount differs from the receipt line by at most one cent.

If the difference is larger than rounding explains, the app does not change the lines but warns you and asks you to check them before saving. Sometimes, for example on a single-line receipt, a one-cent difference cannot be spread over the lines, and the total stays a cent away from the receipt total. Also check the total when you change lines yourself: the app evens out rounding only when reading the receipt.

It depends on the purchase date: from 1 Jan 2026, 0%, 10%, 13.5% and 25.5%; from 1 Sep 2024 to 31 Dec 2025, 0%, 10%, 14% and 25.5%; before that, 0%, 10%, 14% and 24%. If the receipt has a rate that was not in force on the purchase date, the app asks you to correct it before saving.

Select ALV-käsittely (VAT treatment) according to the receipt:

  • Another country’s VAT on the receipt (e.g. a German hotel): Ulkomainen ALV, ei vähennettävä (Foreign VAT, not deductible). The amounts are booked as gross amounts.
  • A service bought from an EU company without VAT: EU-osto, käännetty verovelvollisuus (EU purchase, reverse charge).
  • A purchase from outside the EU without VAT: EU:n ulkopuolinen osto ilman ALV:tä (Non-EU purchase without VAT).

AI suggests the treatment, but check it. In unclear cases, ask your accountant.

Only euros are saved to Procountor. Convert the amounts to euros, for example based on the amount charged by your bank, and change the currency to EUR.

The app remembers the receipts it has saved. If you save the same receipt again (the same PDF, or the same vendor, date and amount), the app first asks whether you really want to save it. The save button also cannot be triggered twice during the same save.

Do not save the receipt again, because the lines would go to Procountor twice. Select Lähetä liite uudelleen (Resend attachment), which sends only the PDF to the voucher that has already been saved.

In Procountor: the journal voucher stays in the Unfinished state, so its lines and attachments can still be edited.

Correct the fields before saving. If AI was unsure about something, a note appears at the top of the form. Tunnista uudelleen (Recognise again) reads the receipt once more.

Expense accounts are fetched from Procountor on the first connection. If the list is empty, open Asetukset → Kulutyypit (Settings → Expense types), select Päivitä Procountorista (Update from Procountor) and tick the accounts you use.

You paid for the receipt with your own card or in cash. The amount is booked as a debt to you, and the company pays it back. You can check the offset account under Asetukset → Maksutavat ja kortit → Kirjanpitäjän asetukset (Settings → Payment methods and cards → Accountant’s settings).

The app remembers the card’s last four digits and from then on selects the payment method automatically when the same card appears on a receipt. The full card number is never stored.

Privacy and data

The receipt PDF is sent to an AI service to read its details:

  • In the Free, AI Included, Sponsored and Enterprise editions, directly from your computer to the EU region of the AI service OpenRouter, where it is processed with Anthropic’s Claude model on Google Cloud servers in the EU. The receipt is not stored after processing and is not used to train AI. The receipt does not pass through the subscription service (vesan.ai).
  • In the Basic edition, directly to the service of your choice.

When saving, the voucher and the PDF are sent to your company’s Procountor. The receipt is not sent to another AI service without your permission.

Settings, encrypted keys (only for this Windows user) and the app’s logs. Printed receipts are in the folder C:\ProgramData\Print2Accounts\inbox, until they have been saved to Procountor. After that they are deleted, unless you have changed the setting. Other users of the computer cannot see your receipts.

Yes. In the privacy notice, select En nyt – täytän kuitit käsin (Not now – I will fill in receipts manually). Receipts are saved to Procountor with their attachments in the same way.

Troubleshooting

Open Print2Accounts from the Start menu and select Avaa PDF… (Open PDF…). Printed receipts are in the folder C:\ProgramData\Print2Accounts\inbox.

The preview needs Microsoft Edge WebView2. The installer installs it, but without an internet connection the installation may not complete. Posting works without the preview too.

Open Asetukset → Procountor (Settings → Procountor) and select Testaa yhteys (Test connection). The message tells you why. Check the API key and your internet connection. If the message mentions missing permissions, ask your company’s Procountor main user to add them.

One Procountor API key corresponds to one company. For another company’s receipts, change the key under Asetukset → Procountor (Settings → Procountor). Expense types and accountant’s settings are saved per company.

The app tells you about a new version at the top of the window. Update by running the new installer; your settings are kept. Uninstall the app in Windows under Settings → Apps → Installed apps.

Tell us what you did and what happened. Attach the log files: Asetukset → Tietoja → Avaa lokikansio (Settings → About → Open log folder). The logs do not contain keys.
